How to take notes you can find later: 7 habits

Seven habits that stop notes from getting lost: capture right away, write the context, keep few folders, keep a daily note and search with questions.

Writing a thought down is easy. Finding it a month later is harder, because it ended up in a phone app, in Telegram’s Saved Messages, in a screenshot or in a paper notebook. Below are seven habits that make notes findable in any app, and how FixNote supports each one.

1. Capture now, sort later

A thought you plan to “write down tonight” is usually gone by tonight. Capture it the same minute, in whatever form is at hand: typing, voice, a forwarded message. Make sorting a separate job you do every few days, so the question “where does this go?” never slows down capturing.

2. One topic per note

A long note called “Misc” soon becomes a drawer where nothing can be found. A short note on one topic is easier to recognize by its title, easier to move into the right folder and easier to delete once it goes stale. When a note grows to cover several topics, split it.

3. Write the context along with the decision

“Go with plan B” will mean nothing in a month. “Call with Oleg, Sep 12: going with plan B because plan A has no export” tells you who decided, when and why. One extra line now saves a long dig later.

4. Use the words you will search for

Think about what you will type into search a month from now. If your team calls the project “Landing” and you tend to write “website”, mention both. Spell people’s names and project names the same way in every note, so plain keyword search finds them without guesswork.

5. Keep few folders

An elaborate folder system on day one often ends with someone giving up on notes altogether. A few broad folders like Work, Home and Travel are enough. Anything that does not fit can stay outside a folder and be found with search.

6. Keep a daily note

Start one note for each day and put tasks, small thoughts and meeting takeaways in it. You never have to decide where something goes, because it lands in today. Once a week, move anything important out of your daily notes into notes of its own so it does not drown among the small stuff.

7. Ask questions instead of browsing

Instead of trying to remember which folder holds a decision, ask directly: “What did Oleg and I decide about the plan?” Search by meaning finds the note even when it uses different words. An assistant that answers with links to your notes lets you check the answer in a click.

How FixNote supports these habits

FixNote runs on Windows, macOS and in the browser, and most of what follows is free and runs right on your device.

For quick capture there is dictation: speech is recognized on your device while you talk, and the audio never leaves it. With Pro you can forward a message, a voice message or a photo to the Telegram bot, and it becomes a note.

The daily note opens with Ctrl+D (⌘D on a Mac). When the previous daily note has unfinished tasks, FixNote offers to bring them over with a “Move here” button. Repeating tasks such as “every Monday” show up on the right day by themselves. See daily notes for more.

Search opens with Ctrl+K (⌘K). Type the start of a word and it finds every form of it: “plan” finds “planning” and “planned”. Each word is also searched in the other alphabet, so the Russian “телеграм” finds “Telegram”. Next to the keyword matches you get notes under “Similar in meaning”. Text in screenshots and photos is read on your device, so an image can be found by the words in it too. The article on searching notes in three languages explains how this works.

For sorting there is “Tidy up”. Every few days, once notes without a folder pile up, AI suggests folders and titles for them and spots duplicates. You accept or reject each suggestion yourself. For questions there is the assistant: it opens with Ctrl+J and shows its sources under each answer. The AI features need a model: FixNote AI with Pro, your own API key, or Ollama in the desktop app.

Where to start

Pick one habit for a week. For example, put everything in the daily note, then at the end of the week open search and check whether you can find what you needed. Download FixNote for Windows or macOS, or open it in the browser at app.fixnote.space. You don’t need an account for any of this.
